Cancellation Policy

This Cancellation Policy explains how cancellations work for purchases and services on QuickHeadshot.app, operated by CodeFrog (codefrog.in).

By creating an account or purchasing credits, you agree to this Cancellation Policy.

1. Nature of the Service

QuickHeadshot.app provides instant, digital, AI-generated images. Once a user initiates a generation request:

  • The system instantly starts processing
  • Server, API, and compute resources are consumed
  • The process cannot be reversed or canceled

Due to the digital nature of the Service, cancellations are limited.

2. Cancellation of Credit Purchases

Cancellation Allowed (Within 7 Days, If Credits Unused)

You may request cancellation of a credit purchase within 7 days if:

  • Credits from that purchase have not been used, AND
  • The purchase was made by mistake or due to a valid reason

If approved, the purchase may be canceled and refunded according to our Refund Policy.

Cancellation NOT Allowed If:
  • Any credit from the purchased pack has been used
  • More than 7 days have passed
  • The request does not meet refund eligibility criteria
  • The account is found violating the Terms of Service

3. Cancellation of Headshot Generations

Headshot generations cannot be canceled once started.

This is because:

  • AI processing begins immediately
  • Server/API costs are incurred instantly
  • Generation tasks cannot be paused or reversed

However:

If the generation fails due to a system error

👉 The credit is automatically refunded.

If the user uploads a bad-quality image

(i.e., blurry, cropped, multiple faces, no face, dark lighting)
👉 Cancellations/refunds are not allowed.

4. Cancellation Due to Fraud or Unauthorized Use

We may cancel transactions if:

  • Payment was fraudulent
  • Unauthorized access occurred
  • Unusual or suspicious activity is detected
  • Chargeback abuse is attempted

Users may be required to verify identity if fraud is suspected.

5. Cancellation of Promotional Credits

Credits earned from:

  • Signup rewards
  • Offers
  • Bonus packs
  • Referral programs
  • Compensation credits

are non-cancellable, non-refundable, and have no cash value.

6. Cancellation of Account

You may choose to close your account at any time.

Before closing:

  • Download your generated images
  • Ensure you have used or saved all purchased credits
⚠️ Upon account cancellation:
  • All unused credits are forfeited
  • Credits cannot be refunded
  • All images may be permanently deleted per our retention policy

Account closure is not a valid basis for credit refunds.

7. How to Request Cancellation

For eligible cancellation requests:

Subject Line: Cancellation Request

Include:

  • Your registered email
  • Order ID
  • Reason for cancellation
  • Screenshots if needed

We aim to respond within 24–48 business hours.

8. Processing Time

If approved:

  • Credit cancellations: Instant–24 hours
  • Payment cancellations: Processed through Razorpay; bank may take 5–10 working days

9. Changes to This Policy

We may update this Cancellation Policy at any time. Changes will be posted on this page with an updated "Last Updated" date.
